Does the Intake Coordinator handle billing or insurance claims?
No, your Intake Coordinator does not process billing, insurance claims, or payments. If you have a biller or billing department that can provide copay and deductible details before the first session, your coordinator will communicate those costs to the client in advance—so everyone knows what to expect.
All actual billing, claims, and payment collection stay with your biller or practice staff.
What’s the process to get started with an Intake Coordinator?
First, you’ll fill out a short intake form about your practice so we can understand your needs. Next, we’ll send you a payment link. Once payment is made, you’ll receive a welcome letter with next steps, including a link to book your onboarding call. During your onboarding call, you’ll meet your coordinator, review and customize your intake process, and make sure they have access to everything needed (EHR, email, workflows, etc).
Most coordinators can get started within two business days after onboarding—so you could have your new intake process fully running in about a week.
Can your Intake Coordinator work alongside my in-house receptionist or another reception company?
Absolutely. We often partner with your in-house staff or your current phone service. Our coordinator can handle all intake, onboarding, and client journey tasks, while your in-house team covers the phones and day-to-day calls.
When and how will I be billed for overages?
Overages are reviewed and calculated after your monthly billing cycle closes. You’ll receive an invoice outlining your total intakes and any overages. You have three days to review and pay the invoice. After that, the card on file will be automatically charged for any outstanding balance.
